My Secret Weapon: Task Capture
Unfortunately, life (and particularly work) is a series of tasks. If you execute tasks promptly, correctly, and proactively, you can reduce overall task volume by heading things off before they become bigger issues —which means more free time to pursue your goals, relax, or do whatever. I prefer to work hard now so I can be lazy later. This is especially important when you’re running multiple companies and/or have young kids at home.
The key to all of this is effectively capturing tasks. Here’s how I do it (heavy inspiration from Getting Things Done):
As I move through the day, my mind will wanders all over the place. And frequently a task or idea will pop into my head; a follow-up I forgot about, a kid’s birthday party RSVP, an upcoming meeting I need to prepare for. The most important thing is that I need to immediately write it down in my phone.
It needs to be the same place every time.
It needs to be insanely low-friction (can’t buried in a complex app like Notion)
And it needs to be somewhere I can easily refer back to ~daily.
Personally I use the very simple Todoist app (no affiliate/not sponsored) on my phone/computer to handle this task capture. All captured tasks go right into the Todosit “Inbox”. Later, I process that into my calendar, email, next-actions lists, or elsewhere. And because Todoist syncs to my phone and my home & work desktops, this list is always available. It’s as simple as that. A lot of people use Apple Notes for this which works great too.

Missing or forgetting ideas (“I’ll remember it later”) has coast me opportunities and increases my stress. Why take a chance? I capture them at the source and have a system for processing. This basic idea is extremely powerful, yet rarely implemented.
Once you’re dealing with a very high volume of tasks and find yourself falling behind on organizing them, it’s time to start doing a GTD “Weekly Review.” I find that your AI model of choice can do a great job of this for you, especially if you plug it in to your todo list software!
